How to Use the Meeting Planner
- Add cities — type a city name and select it from the dropdown. Add 2–6 cities. Use the preset buttons for common team setups.
- Set the date — choose a specific meeting date so DST transitions are calculated correctly.
- Read the grid — each row is one city. Green cells are business hours (9–18 by default). Click any hour column to select it as the meeting time.
- Check the suggestion — the best-time banner highlights the hour with maximum overlap in business hours across all cities.
- Copy & share — copy the meeting note (with each city's local time) or share the URL to send a pre-filled planner to your team.
Why DST matters for scheduling
The US switches Daylight Saving Time on the second Sunday in March and first Sunday in November. Europe switches on the last Sunday in March and last Sunday in October. During the 2–3 week gap between those dates, US–EU offsets shift by 1 hour. This tool uses the browser's native Intl API to resolve the exact UTC offset for any city on any date — no hardcoded offsets.
Frequently Asked Questions
How does this tool handle Daylight Saving Time?
The tool uses the browser's built-in Intl.DateTimeFormat API, which resolves the correct UTC offset for every city on the chosen date — DST transitions are automatic and always current.
Can I share my meeting time plan with my team?
Yes. Click the Share Link button to copy a URL that encodes all selected cities and the chosen date. Anyone opening that link sees the same pre-filled planner.
What is "business hours" in the overlap grid?
By default 9:00 AM to 6:00 PM local time. You can adjust the start and end hours in the settings row above the grid.
Why do US and European DST dates differ?
The US changes clocks on the second Sunday in March / first Sunday in November. Europe changes on the last Sunday in March / last Sunday in October. The 2–3 week gap means US–EU offsets shift temporarily. Always pick the specific meeting date to get the accurate offset.
How many cities can I add?
2 to 6 cities. The grid supports up to 6 rows for readability on all screen sizes.
